Pages assembled for them
Applicants photograph documents on a phone, one page at a time. Ten separate JPGs arrive where a single PDF belongs — and that is fine. Applyfi reads the batch, works out which images are pages of the same document and in what order, and renders them into one PDF.
Distinct documents stay distinct: four pay periods photographed in one go become four pay stubs, not one forty-page file. Adding a missing page later appends it in place, so nobody is ever asked to merge PDFs by hand.
Every file named for what it is
Names are built from what the document actually says — the employer and check date on the stub, the account type and last four on the statement. No more d9djfd9jdl.jpg.
A reviewer opening the file six months later reads the list and knows what is in it. So does the applicant.
Tax returns and SSNs are treated like tax returns and SSNs.
A live application and a closed one are different problems. One has to be reachable by your reviewers every day; the other has to survive years of retention without becoming a liability. They are held separately, under different controls.
Isolated per agency
Every query is scoped to your organization. Multiple agencies share the platform; none share a record, and none can reach another's.
Encrypted, least-privilege
Sensitive fields encrypted at rest and in transit. Raw identifiers never appear in logs, never persist to the browser, and are not retained by the AI layer beyond the verification itself.
Named access, logged
Because seats are free, nobody shares a login. Every action on a file belongs to a person, and the log of who asked for what is append-only.
Cold archive on close
Finalized files leave the active environment for a stricter archive with its own encryption keys and break-glass retrieval — reachable for an audit, not for browsing.
Held to your program's rule
Retention follows the program, not our convenience — commonly three to six years or more depending on the funding source — then secure disposal. Nothing lingers indefinitely by default.
