Applyfi is used by housing authorities and affordable-housing property managers to collect and review applications for affordable rental and for-sale homes. Applying means handing over some of the most sensitive information a person has. This page explains what we collect, what protects it, who can see it, and how long we keep it.

Who controls your information

The housing organization running the program you applied to decides who is eligible and controls the records of your application. Applyfi operates the platform on their behalf. Requests to correct or remove your information should go to that organization; we act on their instruction.

Applyfi does not make eligibility determinations. The platform collects information and documents, cross-checks them, and flags things a reviewer should look at. Every decision is made by a person at the housing organization.

What we collect

Only what the program you are applying to actually requires. Depending on that program, it can include: your name and contact details; household composition; income, employment and asset information; and supporting documents such as government identification, pay stubs, bank statements, tax returns, and lease or mortgage records. Where a program requires it, this includes Social Security numbers.

We also keep a record of your activity on your own application — documents you upload, questions you answer, messages you exchange with our assistant, and notifications we send you — so the housing organization has a complete and auditable file.

We do not sell your information, and we do not share it for anyone else’s marketing.

How it is protected

Information is encrypted in transit and at rest. Documents are stored separately from the application record and are reachable only through short-lived, individually authorized links — there is no public URL for an uploaded document.

Each housing organization’s records are isolated from every other organization’s. Access is scoped to the organization that invited you, and that boundary is enforced on every request rather than by convention.

Sensitive identifiers are handled with additional care: Social Security numbers are never written to your browser’s storage and are excluded from saved drafts.

Who can see it

Staff at the housing organization handling your application. Anyone you designate as a helper, if the organization grants them access to your application. Platform operators at Applyfi, for support and maintenance, under least-privilege access. Nobody else.

We use a small number of service providers to run the platform — cloud hosting and storage, email and text-message delivery, and an AI service used to read and check uploaded documents. They process information on our instruction only, and they are not permitted to use it for their own purposes.

Text messages

Text messages are optional, and never a condition of applying for housing. You opt in by ticking a box next to your phone number in the application; it is unchecked until you choose to check it, and we record when you gave that consent and the exact wording you were shown. You can withdraw it at any time by unticking the box or replying STOP.

Text messaging is not a secure channel, so we deliberately keep it narrow. We never discuss your income, household, address, or the contents of any document by text, and anything you send that looks like an identifying number is removed before your message is stored. Documents cannot be submitted by text. We never send marketing text messages. Full detail is in the SMS Terms & Consent.

How long it is kept

Applications and their documents are retained for as long as the housing organization’s program requires. Affordable-housing programs carry record-keeping obligations that commonly run several years past a decision, and the housing organization sets the period that applies to your file.

Once an application is finalized, its records move into a separate archive with stricter access controls, and are securely destroyed at the end of the retention period.

Your choices

You can see and correct the information on your own application by signing in. You can decline text messages, or withdraw that consent later, without affecting your application. To ask what is held about you, to correct it, or to request deletion, contact the housing organization handling your application — or write to us and we will put you in touch with them.

Children

Applyfi is not directed to children, and accounts are held by adult applicants. Household members under 18 may appear on an application because the program requires household composition; that information is provided by the adult applicant.
